We collect what
the work requires.

Nothing more, and none of it is for sale. This page says exactly what we hold, why we hold it, who else touches it, and how to make us delete it.

1. What we collect

Three things, and they all come from you:

  • Contact details. Your name, email address, mobile number and company — the fields on the intake form.
  • The solicitation. Its number, the issuing agency, the due date, any link you give us, and your description of what you are bidding on. Once an engagement starts, this includes the documents and figures you send us to write from.
  • Correspondence. Text messages, calls, emails and portal activity relating to your engagement, so that the next conversation starts where the last one ended.

Our server also records ordinary request information such as an IP address and timestamp when the intake form is submitted. That exists to stop automated spam, and it is the only reason we keep it.

2. Why we collect it

  • To reach you about the solicitation you sent us — the text, the scoping call, the quote.
  • To produce the work you engaged us for.
  • To invoice you and to show you where your engagement stands in the client portal.
  • To keep our own records of what was agreed and what was delivered.

That is the complete list. We do not build advertising profiles and we do not use your solicitation to market to anyone else.

3. We do not sell your data

We do not sell, rent, trade or licence your personal information to anyone, for any price. We do not share it with data brokers, lead resellers, advertising networks or other proposal firms.

The only outside parties that touch it are the vendors listed in section 6, each of which handles one specific job on our behalf.

4. Text messages, consent, and STOP

When you tick the consent box on the intake form, you are agreeing that MF Automations may text and call you about your solicitation at the number you gave, including with an automated system. That box is the record of your consent, and it is never pre-ticked.

  • Reply STOP to any message and we stop texting you. It takes effect immediately and we will send one final message confirming it.
  • Reply HELP for help, or contact us at the address below.
  • Message and data rates may apply. That is between you and your carrier — we do not charge for messages.
  • Message frequency varies with your engagement. There is no recurring broadcast list.
  • Consent is not a condition of purchase. If you would rather we only used email, say so and we will.
  • We never share your mobile number or SMS consent with third parties for their own marketing.

5. Payments

Payments are processed by Stripe. Your card details go directly to Stripe and are handled under Stripe's own privacy policy.

We never see, receive or store your card number. What we hold is the fact that a deposit or balance was paid, the amount, and the date — which is what releases your files.

6. Who else touches it

We use a small number of vendors, each for one job:

Beyond these, we disclose information only when the law requires it, or when it is necessary to establish or defend a legal claim.

7. Cookies and tracking

This site sets no advertising cookies and loads no third-party trackers. There is no analytics pixel, no advertising tag and no social widget on these pages. Every script, font and stylesheet is served from this domain, and the site's content security policy blocks anything else from loading.

The client portal reads a reference from the address of the link we texted you. That is how it knows which engagement to show, and it is not used for tracking.

8. How long we keep it

  • Enquiries that never became an engagement: up to 24 months, then deleted.
  • Engagement records and delivered work: at least 7 years, because an engagement can be relevant to a protest, an audit or a tax record long after it is finished.
  • Payment records: as long as tax and accounting law requires.
  • SMS opt-out records: kept indefinitely, on purpose — a deleted opt-out is an opt-out we might accidentally undo.

9. Asking us to delete your data

Email [email protected] with the subject "Data deletion request" from the email address you contacted us with, or text (305) 216-3272 from the number you gave us. You can also ask for a copy of what we hold, or ask us to correct it.

We act within 30 days and we will tell you what we deleted. We keep only what we are legally required to keep — payment and tax records, and your opt-out record — and we will tell you plainly if that applies to you.

10. Security

Traffic to this site and to our API is encrypted in transit. Access to engagement records is limited to the people working on them. Client portal links are private and unguessable, so treat the link we text you like a password — anyone who has it can see that engagement.

No system is perfect. If we ever discover a breach affecting your information, we will tell you what happened and what to do about it.

11. Children

This is a service for businesses. It is not directed at anyone under 18 and we do not knowingly collect information from children.

12. Changes to this policy

If this policy changes, the date at the top of the page changes with it. If a change materially affects how we use information you already gave us, we will tell you directly rather than relying on you to re-read this page.
