The deal,
in plain words.

These terms govern proposal production work performed by MF Automations LLC. They are written to be read, not to be survived. If a term below is not what you were told on the call, the call was wrong — tell us and we will fix the quote.

1. Who these terms are between

"We", "us" and "MF Automations" mean MF Automations LLC, a Florida limited liability company. "You" means the person or business that engages us to produce a response, proposal or statement of work. "The engagement" means one specific piece of work, described in one quote.

These terms apply from the moment you accept a quote or pay a deposit, whichever happens first. Using this website is also covered by them.

2. Scope is fixed at the quote

Before any work starts we scope the engagement with you and give you a single fixed price with the scope written down beside it. That written scope is the whole of what we owe you. It names the solicitation or the proposal, the volumes and forms we will produce, and what you are supplying.

Anything outside it — a second solicitation, a different issuer, a re-bid, an amendment that changes what is being asked for, a new volume you decide you want — is a new engagement with its own quote. We will always tell you when something crosses that line before we do it, not after.

3. Deposit, balance, and when files release

  • 50% deposit begins production. We do not start until it clears.
  • The deposit is non-refundable once production begins. It buys time on a deadline that cannot be resold once it has passed. Before production begins, it is refundable in full.
  • The remaining 50% is due on delivery. We show you the finished work first.
  • Files release when the balance clears. Until then you can see what has been produced in your client portal, but the deliverable files are locked.

Payments are processed by Stripe. We never see or store your card number. Government engagements start at $2,500 and business proposals start at $750; your actual price is whatever the quote says, and it does not change afterwards unless the scope does.

4. The facts are yours; the writing is ours

You supply the underlying facts — your experience, your licences, your certifications, your financials, your references, your pricing, your past performance. You are responsible for those facts being true and current.

We do not invent qualifications, licences, certifications or past performance. If a solicitation demands something you do not have, we will tell you plainly that you do not have it and what your options are. We will not write that you do. This is not negotiable and it is not a service level — it is the reason the work is worth anything.

Submitting false information to a public issuer can void an award and carries legal consequences for the submitter. That exposure is yours, so the facts have to be yours too.

5. No guarantee of award

We do not guarantee that you will win anything. We cannot, and nobody honestly can. Award rests entirely with the issuer's evaluation committee applying its own published criteria, and that committee is not accountable to us.

What we are accountable for is production: that your response is responsive, complete, compliant with every hard gate we identified, and delivered in the format the issuer specified — so that it is scored on its merits rather than set aside on a technicality. Losing on the merits is a possible outcome of a correctly produced response, and no part of your fee is contingent on the result.

6. You own the delivered work

When the balance clears, the delivered work product is yours. Reuse it, edit it, submit it, adapt it for the next solicitation — it is your document.

We keep ownership of our own method, templates, checklists, tooling and internal scripts, which are not part of the deliverable. We may describe an engagement in general terms as work we produced, and we will not publish your documents, your pricing or your name without your written permission.

7. Deadlines depend on you too

Proposal work runs against someone else's clock. We commit to the dates in the quote on the condition that you return what we ask for — documents, figures, signatures, decisions, approvals — by the dates we agree.

If inputs arrive late, the delivery date moves by at least as much, and a deadline may become unreachable. We will tell you the moment we think that is happening rather than discovering it together on the due date. We are not responsible for a missed submission caused by information we asked for and did not receive, by an issuer's portal or platform, or by anything else outside our control.

8. Confidentiality

What you send us stays between us. We treat your solicitation, your pricing, your financials and your correspondence as confidential and we do not share them outside the people working on your engagement. If you have your own NDA, send it and we will sign it.

9. Limitation of liability

Our total liability arising out of an engagement is capped at the fees you actually paid us for that engagement. We are not liable for indirect, incidental, consequential, special or punitive damages, or for lost profits, lost contracts, lost revenue, or the value of an award you did not receive, even if we were told those were possible.

Nothing in these terms limits liability that cannot be limited under Florida law.

10. Ending an engagement

You can stop an engagement at any time. If production has begun, the deposit is not refunded and any work completed beyond the deposit is invoiced at the same proportion of the fixed price. You keep whatever has been paid for.

We can decline or end an engagement — before or after a deposit — if the work would require us to state something untrue, if it is not producible in the time remaining, or if it falls outside what we do. In that case any unearned portion of your deposit is refunded.

11. Governing law

These terms are governed by the laws of the State of Florida, without regard to its conflict-of-law rules. Any dispute is brought in the state or federal courts located in Miami-Dade County, Florida, and both of us agree to that venue.

12. Changes to these terms

We may update these terms. The version in force for your engagement is the one published on the day you accepted the quote, and the date at the top of this page tells you when it last changed. Changes are never applied backwards to work already quoted.
